Members

For the protection of your personal data, C&CCC complies with the General Data Protection Regulations (GDPR). The personal information that we collect and hold is your:

 

  • Name

  • Address

  • Telephone number

  • Email address

  • Gender

  • Date of birth

  • Emergency contact name and telephone number (optional)

  • Contents of correspondence between member and C&CCC

  • Membership number

  • ‘In Case of Emergency” card number

  • For under 18s, name of a parent or guardian

  • For those reporting incidents, details of the incident.

We hold these data so that we can administer club activities and deal with matters arising from them. We do this on the basis of the Legitimate Interests of C&CCC and the general public. These data will be retained for six years after membership has lapsed.

In order to facilitate membership, we use British Cycling as a data processor.  Provision of data to C&CCC via British Cycling is subject to its own data privacy policy.

In addition, if you have any financial transactions with C&CCC, we will collect and hold data that may include your name, bank account number, bank account sort code, transaction date, transaction amount and what it was for. We hold these data so that we can administer club finances and deal with matters arising from them. We do this on the basis of the Legitimate Interests of C&CCC and the general public.

 

These data will be retained for seven years after the transaction.  Data of financial transactions with C&CCC are shared with the club’s bank and accountancy software provider as data processors.  The club ensures that the data processors privacy policies are appropriate.

The Controller is C&CCC committee and Directors who can be contacted via the club website contact page.

You have the right to request, from the C&CCC, access to and rectification or erasure of personal data or restriction of processing concerning the data subject or to object to processing as well as the right to data portability.

You have the right to lodge a complaint with the Information Commissioner’s Office.

 

In order to administer membership of C&CCC, members may make use of a third party event entry system (The Data Processor) system.  Use of this system is subject The Data Processor’s own Data Protection Policy and may include your data being held on servers outside the UK and/or outside the European Union.

 

When using social media platforms in relation to club activities, including but not limited to Facebook, Instagram and WhatsApp, data you provide to the social media provider will be subject to its own data policy.

Event and coaching participants

  • The contents of correspondence between individual and C&CCC

We hold these data so that we can administer the events and coaching and deal with matters arising from them. This may include publication of results of the event that could identify individual entrants. We do this on the basis of the Legitimate Interests of entrants, C&CCC and the general public. These data will be retained for six years from the event entered.
